Terms and Conditions

1. Introduction


These terms and conditions constitute a legally binding contract ("Agreement") between GP Golf Travel Limited, a company registered in England & Wales with Registered Company Number 15092081, trading as GP Golf Travel or GP Travel, hereinafter referred to as "GP," "Our," "We," or "Us," and the individual making the booking, hereinafter referred to as "You" or the "Booker."


2. Privacy Policy


These Terms and Conditions should be read in conjunction with our Privacy Policy, which can be found HERE. By booking with us, you acknowledge and agree to the terms outlined in our Privacy Policy.


3. Booking Confirmation


To secure your booking, a non-refundable deposit is required, the amount of which may vary depending on factors such as the size of your party and other relevant considerations. We accept payment via major credit cards, with a 2% surcharge applicable to corporate cards.


4. Payment Details


The Booker, who must be at least 18 years of age, is responsible for making payments and is authorized to book on behalf of all travellers. Payments can be made either by phone at 01386 291 000 or online.


5. Formation of Contract


The contract between you and GP is established upon successful clearance of your payment, following the issuance of a confirmation invoice.


6. Balance Payment


The balance payment for your trip is due at least 2 months before the scheduled departure date. Late payments may incur a fixed fee of 5% of the total holiday price. Failure to make full payment within 7 days after receiving a final warning email will result in the cancellation of your trip, with the deposit being forfeited. If you are booking within 2 months of departure, full payment is required at the time of booking.


7. Reviewing Documents


It is your responsibility to thoroughly review all documents upon receipt. Any errors should be reported immediately, as changes are only possible within 48 hours after booking, after which changes may be subject to fees, as detailed below.


8. Hotel Availability


In the event that your chosen hotel is unavailable when booking online, we will either provide alternative options or issue an instant refund.


9. Price Guarantee


The holiday price indicated on the confirmation invoice is guaranteed, except in cases of new taxes or levies. GP reserves the right to adjust web prices at any time.


10. Altering Your Booking


Requests for changes made at least two months before departure will incur an administration fee of £50.00 per person, in addition to any airline or supplier fees that may apply.


11. Cancellation Policy


Cancellation fees apply based on the timing of your notice:


60+ days before departure: Deposit

45 – 59 days before departure: 50%

30 – 44 days before departure: 75%

0 – 30 days before departure: 100%


12. Travel Insurance


It is mandatory for all travellers to have adequate travel insurance that meets their specific needs.


13. Changes by GP


GP reserves the right to amend your travel arrangements. In such cases, you will be promptly informed and given the option to accept the changes, select an alternative holiday, or cancel with potential cancellation charges.


14. Force Majeure


GP is not liable for circumstances beyond its control, including but not limited to war, terrorism, natural disasters, or government changes that may affect your trip.


15. Extraordinary Circumstances


In the event of extraordinary circumstances (e.g., pandemics) preventing you from travelling, GP will make reasonable efforts to handle the necessary arrangements for you to travel at a later date.


16. Special Requests


Please note any special requests on the booking form, and we will forward them to the relevant suppliers.


17. Liability


GP is responsible for the quality of your holiday and accepts full liability for negligence but not for events beyond its control.


18. COVID-19 or Other Pandemic Limitations


GP is not liable for refunds, costs, or losses incurred if your travel plans are affected by COVID-19 or related factors. We strongly advise you to consult your travel insurance provider for coverage in such situations.


19. Flights


Please check in at least 2 hours before your flight and verify flight details upon receipt. Most airlines have a strict no-smoking policy, and online tickets are the norm for the vast majority of airlines.


20. Baggage


Baggage policies vary by airline. We will inform you of any specific baggage policies if you have booked flights through us. Please be aware that charges for golf club carriage are common, and you should check the individual policies of the airline.


21. Descriptions


While we make every effort to provide accurate descriptions, changes may occur due to factors such as weather, demand, maintenance, or renovations.


22. Building Work & Noise


If significant construction is expected to take place near your accommodation and may impact your holiday, we will notify you if the suppliers have made us aware of it. If we have not been informed by the suppliers, we will make a note for future reference, but we cannot inform you of such events if we are not made aware of them.


23. Car Hire & Transfers


Details of car hire arrangements will be provided at the time of booking. Please note that car rental firms may have specific terms and may charge additional fees.


24. Golf Arrangements


Tee times are based on your preferences and are subject to confirmation by the golf club. Amendments and cancellations within 60 days of departure may incur charges.


25. Complaints


In the event of any issues during your stay, please report them as soon as possible via email to events@golfpairs.com.


26. Tickets & Documents


Please carefully review all travel documents upon receipt.


27. Passports, Visas & Health


Ensure that you possess valid passports, visas, and comply with health requirements for your trip. GP is not liable if entry is refused due to inadequate documentation.


28. Financial Security


Your payments are protected. For ATOL-protected bookings, you will receive an ATOL Certificate. If you arrange your own flight arrangements, your holiday payments are protected by our ABTA bond.


29. Travel Advice


Review the latest travel advice from relevant authorities before your trip.


By booking with GP Golf Travel Limited, you acknowledge that you have read, understood, and agree to these terms and conditions, which constitute a legally binding contract between you and GP Golf Travel Limited.


Governing Law and Jurisdiction. This Agreement shall be governed by and construed in accordance with English Law.
